This Privacy Notice does not replace any separate employee privacy notice or internal employee data protection notice issued to employees, workers, contractors or applicants for internal roles.

Identity and contact data

Candidate and recruitment data
If you are a candidate or prospective candidate, this may include your CV, work history, education, qualifications, certifications, skills, salary or rate expectations, bonus or benefits expectations, notice period, work preferences, location preferences, right-to-work or visa information, interview availability, interview notes, assessment notes, references, role preferences, relocation preferences, and communications with us.
It may also include information about roles you have applied for, roles we have discussed with you, client submissions, interview outcomes, placement records, start dates, offer details and ongoing recruitment activity.
Client and business contact data
If you are a client, prospective client or business contact, this may include your name, role, employer, contact details, hiring requirements, job descriptions, candidate feedback, interview notes, fee information, commercial correspondence, procurement information, invoicing contacts and records of services provided.
Communications data
We may collect records of your communications with us, including emails, web enquiries, social media messages, LinkedIn messages, WhatsApp messages, SMS messages, Microsoft Teams messages, call logs, call recordings, voicemail messages, meeting notes and related follow-up records.
Website and technical data
When you use our website, we may collect technical and usage data such as IP address, browser type, device type, operating system, approximate location, pages viewed, time spent on the website, referring website, cookie identifiers, interaction logs and security logs.
Marketing preference data

Sensitive or higher-risk data may include health information, disability or adjustment information, diversity information, criminal-record information where relevant and lawful, immigration information, work-pass information, identity documents, or other data requiring additional care.
You should not provide sensitive personal data unless it is relevant and necessary.

Where you provide personal data about someone else, such as a referee, colleague, emergency contact or candidate, you must ensure that you are allowed to provide it and that the individual has been given appropriate notice where required.

5. How we use personal data

We use personal data for the following purposes.

Recruitment services
We use candidate and client data to provide recruitment, search, staffing, talent introduction, candidate representation, vacancy delivery and related services. This includes identifying suitable candidates, discussing roles, submitting candidates to clients, arranging interviews, managing offers, checking availability, recording recruitment activity, and maintaining accurate recruitment records.
Candidate relationship management
We may contact candidates about current or future roles, maintain candidate records, update candidate preferences, assess suitability, provide career-related information, and keep records of recruitment discussions and outcomes.
Client relationship management
We may process client and business contact data to understand hiring needs, manage assignments, provide candidate shortlists, coordinate interviews, manage feedback, agree terms, issue invoices, maintain business records, and develop business relationships.
Communications and service delivery
We use personal data to respond to enquiries, communicate with you, arrange meetings, manage calls, maintain records, follow up on actions, provide service updates and resolve queries.
Call recording and AI summarisation
We may record telephone calls with candidates, clients, suppliers and business contacts for quality assurance, training, record-keeping, dispute management, compliance, internal collaboration and service improvement.
Call recordings may be stored on internal systems and retained for up to 6 years, or longer where there is a continuing legal, regulatory, accounting, audit, dispute-management or legitimate business need.
We may use secure, Company-approved AI-based tools to summarise call recordings, meeting notes or communications for internal record-keeping and follow-up. AI summaries are used to support human decision-making and administration. We do not use AI summaries to make solely automated decisions about candidates, clients or business contacts.
We do not permit employees to upload your personal data, CVs, call recordings, candidate notes, client information, salary details, identity documents, work-pass information, fee terms or confidential business records into public or unapproved AI tools.
Call recordings and AI-generated summaries are not sold. They are not disclosed outside the relevant Anson McCade entity except as described in this Privacy Notice, including where disclosure is necessary to approved service providers, professional advisers, regulators, law enforcement, the relevant independent Anson McCade entities, or where otherwise required or permitted by law.
Website operation and security
We use website and technical data to operate the website, monitor performance, improve functionality, maintain security, prevent fraud, investigate misuse, manage cookies and analytics, and understand how users interact with the website.
Marketing and professional updates
We may use your contact details to send relevant professional updates, job alerts, market information, service information, event invitations or marketing communications where permitted by law.
You may opt out of marketing communications at any time by using the unsubscribe method in the message or by contacting us at enquiries@ansonmccade.com.
We will not opt you out of necessary service, recruitment, compliance or transactional communications where we are entitled or required to send them.

Where UK or EU data protection law applies, we may rely on:

Our legitimate interests may include providing recruitment services, managing candidate and client relationships, operating our website, maintaining accurate business records, recording calls, improving service quality, securing systems, preventing fraud, managing disputes, developing business relationships and sending relevant business communications where permitted.

Where Singapore’s Personal Data Protection Act applies, we collect, use and disclose personal data for purposes that a reasonable person would consider appropriate in the circumstances, and where required we rely on consent, deemed consent, notification, legitimate interests, business improvement, legal compliance or other exceptions permitted under the PDPA.

Where Australian privacy law applies, we collect, use and disclose personal information where it is reasonably necessary for our functions or activities, where you have consented, where required or authorised by law, or where another lawful basis or exception applies.

Where we process sensitive or higher-risk data, we do so only where necessary and where permitted by applicable law.

7. Candidate submissions and client sharing

If you are a candidate, we may share relevant personal data with clients and prospective employers for recruitment purposes. This may include your CV, work history, skills, qualifications, salary or rate expectations, availability, location, interview feedback, assessment notes and other information relevant to a role.

We will not normally submit your CV or personal profile to a client for a specific role without your consent or authorisation, unless another lawful basis applies.

If you are a client, you must ensure that any personal data you provide to us about employees, hiring managers, referees, candidates or other individuals is provided lawfully and with any required notice or consent.

8. Who we share personal data with

We may share personal data with:

  • the relevant Anson McCade entity handling your enquiry, role, assignment or business relationship
  • the independently operated Anson McCade entities in the UK, Singapore and Australia where necessary for recruitment, client service, internal administration, shared systems, service delivery, reporting, compliance or business operations
  • clients and prospective employers
  • candidates and prospective candidates, where relevant to recruitment activity
  • referees and background-check providers
  • suppliers and service providers, including CRM, ATS, hosting, telecoms, email, messaging, analytics, AI summarisation, security, storage, payroll, accounting and professional service providers
  • banks, payment processors and finance providers where relevant
  • professional advisers, including lawyers, auditors, accountants, insurers and consultants
  • regulators, courts, law enforcement, tax authorities and government agencies
  • third parties involved in a business sale, restructuring, financing, merger or transfer of assets, where relevant and lawful

We require service providers to handle personal data securely and only for authorised purposes.

We do not sell personal data.

9. International data transfers

We operate across the United Kingdom, Singapore and Australia. We may transfer personal data between those countries where necessary for recruitment, service delivery, administration, business operations, compliance, system support, reporting or related purposes.

We may also use service providers whose systems or support teams are located in other countries.

Where personal data is transferred internationally, we will take steps required by applicable law to protect it. Those platforms may process your personal data under their own terms and privacy notices. We are not responsible for the privacy practices of third-party platforms.
Our website may contain links to third-party websites. We are not responsible for the content, security or privacy practices of those websites.

13. Data security

We use technical, organisational and administrative safeguards designed to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, loss, misuse or disposal.

  • candidate records may be retained while there is an active or potential recruitment relationship, a realistic current or future opportunity, or another legitimate business or legal need
  • client and supplier records may be retained for the duration of the business relationship and then for a period necessary for accounting, audit, contractual, legal, regulatory and dispute-management purposes
  • website analytics and cookie data are retained according to the relevant cookie/tool settings and our operational requirements

When personal data is no longer required, we will take reasonable steps to delete, anonymise, de-identify or securely dispose of it, unless retention remains necessary or permitted by law.
